Make it specific to your application

  1. Replace every placeholder. Add your name, job title, company, and contact details. If you know the hiring manager’s name, use it in the greeting.
  2. Show one relevant achievement. Replace the example body with something you actually did, explaining your contribution and its result. If you are a student or changing careers, use a relevant project or volunteer experience.
  3. Explain why this role fits. Connect your experience to a specific requirement in the job description. Adjust the wording so it sounds like you.
  4. Review and save. Check names, dates, spelling, and contact details. Follow the employer’s instructions for file format and submission.

Example: a cover letter for a first software role

This fictional example shows how a project can support an application without claiming professional experience. Replace the names and facts with your own; only include work you can explain in an interview.

Dear Hiring Manager,

I am applying for the Junior Software Engineer role at Cedar Apps. Your focus on tools for small teams interests me because I enjoyed building a booking tool for our university computing society.

In that project, I implemented form validation and database queries, then revised the booking flow after classmates tried it. I can explain the implementation and the changes in a walkthrough of the project. This work relates to your requirement for building and maintaining web features.

I would welcome a conversation about the role and the project. Thank you for considering my application.

Sincerely,
Alex Chen

The useful evidence is the contribution and what changed after feedback. Add a measured outcome only if you have one. For help describing your project, read how to turn projects into resume bullets and the graduate software engineer resume example.

Should I send my cover letter as Word, PDF or an email?

Follow the employer's instructions. Use the editable DOCX while drafting; export a PDF if the application asks for one. If the letter belongs in an email or application text box, paste the reviewed text and check that paragraph breaks survived. Remove every placeholder before sending.

A generated draft still needs your review. Check the company, role, greeting, contact details and every claim. For export steps, see the PDF and Word format guide.
