PDF vs. Word Resume: Which Format Should You Send?

Choose PDF or DOCX based on the employer’s instructions. Compare layout, editing and text extraction without assuming one tool always wins.

Should I send a PDF or Word resume?

Send the format the employer requests. When both are accepted, PDF is useful for preserving a finished layout; DOCX is useful when the recipient needs an editable document. Inspect the actual export rather than relying on a file extension or the name of the tool that created it.

This guide helps you choose a submission format. Once you have chosen, use our export-fidelity guide to inspect what survived export, with original PDFs and extracted-text examples.

Question PDF Word / DOCX
Do I need to preserve the final layout? Designed for fixed pages; inspect the export. Layout can change with fonts and the application used to open it.
Does a recruiter need to edit it? Keep an editable source separately. An appropriate option for document editing.
Can software extract the text? Check selectable text and reading order. Check document structure and imported fields.
What if the employer requests another format? Follow that request. Follow that request.

Where does Canva fit?

If you are deciding whether to pay for a builder, read our ResumeForU vs free Canva comparison. It covers price, design workflow and included exports. This guide focuses on choosing a file format.

Canva is an authoring tool, while PDF and DOCX are file formats. Comparing them as three equivalent formats is misleading. The relevant question is what your chosen tool produces for your design and export settings.

Do not assume that a Canva document is unreadable or that a Word document is automatically safe. Inspect text, column order, section headings and file size in the exported document. The same checks apply to a resume builder’s output.

How do I convert a Word resume to PDF?

Keep the editable DOCX as your source, then export a separate PDF. In desktop Word, use File → Save As or Export and choose PDF; the labels vary by version. In Google Docs, use File → Download → PDF Document (.pdf). Avoid taking a screenshot of the page: a picture of text is not the same as selectable document text.

For the menus in your version, see Microsoft's PDF export instructions and Google Docs download instructions.

For example, keep Alex-Chen-Resume.docx for editing and export Alex-Chen-Resume.pdf for an application that accepts PDF. Open the PDF after every revision; do not assume that a previous good export proves the new one is correct.

Check that your name, email, experience bullets and dates are present. Copy the text into a plain-text editor and confirm that each role stays with its company and dates. Our exported-text checklist walks through this check, and the free resume checker can help you inspect supported files. Neither check guarantees an employer will select your application.

Which file should I upload for this application?

Application instruction What to do
“Upload a Word document” or “DOCX only” Upload DOCX, even if you prefer the PDF layout.
“PDF only” Export a PDF, then check its text and page breaks.
PDF and DOCX are both accepted Choose the checked export that meets the recipient's needs; PDF preserves a finished layout, while DOCX remains editable.
A recruiter asks for an editable copy Send DOCX and review how it opens in their editor.
The form fills in your work history from the upload Review and correct every populated field before submitting.

Prepare both formats when possible so you can follow each employer's instructions without rebuilding your resume. Use the same facts in both, and check each export independently.

A simple export check

  1. Save a version with a clear filename, such as Alex-Chen-Resume.pdf.
  2. Open it in a separate viewer and check page breaks, links and missing text.
  3. Copy its text into a plain-text editor and check the reading order.
  4. Confirm that its size and format meet the application’s requirements.
  5. Review the application preview and automatically populated fields.

Greenhouse’s candidate guidance recommends reviewing and correcting parsed profile information before submission. That is a useful final step even when the file looks right. Candidate guidance.

What does ResumeForU export?

The core purchase includes clean PDF, Word (DOCX) and TXT exports for one saved resume for one person. All core templates, subsequent edits, job versions and re-downloads are included while the service operates, with no subscription or per-export fee. Additional independently saved resumes require their own purchase. Preview each format separately: an editable export need not have identical page layout to the PDF. See pricing and included features.

Is PDF guaranteed to pass an ATS?

No. File readability, field extraction and candidate screening are different questions. Our ATS methodology explains what document checks can establish and what they cannot.

Choose a resume template based on your content, then check its final export before every application.
