ATS-Friendly Resume Template Checklist: Layout, Headings, and Text Order

Use this practical checklist to evaluate any resume template for selectable text, section heading clarity, skill separators and exported reading order.

How do you know if a resume template is ATS-friendly?

A resume template is ATS-friendly when its exported file stores words as selectable characters, separates sections with standard headings (Experience, Education, Skills), preserves spaces between adjacent tokens, and extracts in a top-to-bottom sequence that keeps each job title, company, date range and bullet list together.

Because employers configure applicant tracking systems differently, no template can guarantee that every application portal will import every field without manual adjustment. Instead of relying on a template badge, test the exported file with your own content before submitting.

Five checks to run on any resume template

Check What to inspect Red flag in exported text
1. Selectable text Highlight a line in the final PDF and copy it Clicking selects the whole page as an image or pastes empty lines
2. Section headings Look for standard labels (Experience, Education, Skills) Creative headings (Where I've Been) or missing section breaks
3. Reading order Paste the entire document into a plain-text editor Sidebar skills or contact details appear in the middle of a job entry
4. Token spacing Inspect skill badges, inline lists and contact bars Adjacent words join without spaces (for example, TypeScriptGoPython)
5. Page breaks Check multi-page transitions in both visual preview and text A role header sits at the bottom of page 1 while its dates or bullets land on page 2

Why visual appearance and extracted text differ

A PDF records where glyphs sit on a page; it does not always store paragraphs in the same structure as an HTML or Word document. When a text extractor or application portal reads the PDF, it reconstructs words and lines from coordinates and font encodings.

In our July 2026 PDF extraction benchmark, rendering the same HTML template through two different PDF engines produced different spacing in extracted skill lists. Visual inspection alone could not reveal that one engine joined four skill names into a single token (Languages:TypeScriptGoPythonRust) while the other preserved spaces (Languages: TypeScript Go Python Rust).

Comparing single-column and multi-column resume templates

Single-column templates are straightforward to verify because each section spans the full width of the page from top to bottom. Classic, Minimal and Professional in the ResumeForU template gallery follow a top-to-bottom section sequence.

Templates with two-column skill grids (such as Modern and Elegant) can still extract cleanly when the underlying DOM order groups each category before moving to the next section, rather than floating an entire sidebar across the page height. Even so, always run the plain-text copy test on your finished export. See our template selection guide for the layout tradeoffs of all five templates.

When to use PDF vs editable Word (.docx)

  1. Follow the job posting first: if an employer asks for Word (.docx), submit a .docx file rather than a PDF.
  2. Use selectable-text PDF when both are accepted: a text-based PDF preserves typography and page breaks across devices while remaining extractable.
  3. Inspect each format separately: an editable Word export uses document flow rather than the PDF template's exact visual styling. Check pagination in your word processor before sending. Read our PDF vs Word vs Canva guide for details.

Run a quick pre-submission check

Before you upload your resume to an application portal:

  • Follow the worked exported-text checklist on the exact file you plan to attach.
  • Paste your resume into the free ATS resume checker to check for missing contact fields, section completeness and job-description keywords.
  • Review the auto-populated fields inside the employer's application form after uploading and fix any misassigned dates or titles manually.
